Program Settings - What are they and what do they do?

Enable/disable program settings to personalise your own program experience

Why?

Program settings allow you to configure your program. We will go through each of the Settings tabs so you can comfortably navigate the settings page.

How?

Details

On the Details tab, you can set:

Program Title

Displays on the home page, banner, catalogue etc

Program Path / Program URL

These two settings are related. The program path must be unique. It is appended to the end of the program URL.

Status

Active, Draft, Archived or Cancelled. Active is the only status which allows a program to be visible to participants.

From / To Dates

The start date/time and finish date time for blended, virtual or face to face programs. The dates are optional - for example, if the program is self-paced, start and end dates are not relevant.

Delivery Mode

Virtual, Blended, face to face, Self-Paced. This setting is used for display purposes in the Catalogue.

Lock Classroom

Enabling this toggle will allow you to set a date and time from which the program materials become available to participants. If you enrol participants BEFORE this date/time, the participants will be able to complete the Onboarding only. On completion of the Onboarding, learners will receive the locked message enabled by this toggle.

Access Close

Enabling this toggle will allow you to set a date and time from which the program materials are no longer available for the participants to access after the completion of the program. For example, three months after the program finishes, you may wish to remove participant access.

Limit Seats

Enabling this toggle will allow you to limit the number of participants in the learning program.

Program Code / Reference Code

The Program Code / Reference Code fields can be used to support integration between platforms. For example, a Program Code from a CRM or financial system can be stored in Academy’s Program Settings and used in reports and integrations to assist in keeping data synchronised between multiple systems.

Configuration

In the Configuration tab, you can set:

Region / Time Zone

This is important if your program includes any face to face or virtual sessions.

Program Banner

Appears on the Program home page.

Catalogue Thumbnail / Catalogue Description

Appears on the platform home page and catalogue.

Set Up Toggles

Enables or disables:

  • Dashboards (for reporting)

  • Calendar (for programs with sessions and/or multiple progressive due dates)

  • Community (where it is appropriate for participants to share their details with other participants if they choose)

  • Portfolio (giving the participant the option of generating a printable artefact of their work throughout the program)

  • Actions (decommissioned)

  • Resources (enabling a central repository of all documents, diagrams, links and videos used throughout the program)

  • Program Homepage (usually enabled, but can be disabled if your program is short with a very small number of activities)

  • Task Feed (enables a menu option which shows a feed of submitted tasks)

  • Comments/Discussion Feed (enables a menu option which shows a feed of submitted comments. When toggled, the option to also enable learner created discussion becomes available.)

  • Dietary Report (used in Face to Face programs to generate a report of dietary preferences (collected during the onboarding) for catering purposes)

  • Onboarding (enables the Onboarding feature);

  • Inbox (when toggled on the inbox provides program facilitators and coordinators quick and easy access to learner responses on diagnostic activities that have been set up within the program)

  • Program Homepage (This series of toggles, allows the program homepage to be hidden/viewable from the different user roles)

Catalogue

If you have enabled the Academy Catalogue, then in this tab you can:

  • Display program sessions in the catalogue

  • Display the Facilitators of the program in the catalogue

  • Promote the learning program on the catalogue - if enabled, the program will appear in the rotating carousel on the catalogue home screen. Use the “reason” to add a promotional flag eg. “Filling Fast”, “New”, or “Closing Soon”. Programs will automatically disappear from the home screen carousel after their “Enrolment Close” date.

Badges

Add a badge to your program. Badges are awarded either manually or automatically on completion of a program. Read more about badges here.

Language

Used if you are delivering multiple language versions of your program.

Integrations

LTI is a Learning Tool Interoperability integration. It enables communication between 2 LTI-compatible learning systems. This is an advanced feature, and we recommend contacting us at Guroo Producer if you’re unsure how to implement an LTI integration.

Tools

In the tools tab, you can:

  • Shift program dates (Allowing for program dates, enrolment dates, and section session due dates to all be simultaneously shifted either forward or backward by a declared number of dates)

  • Replace content (Allowing for program content to be replaced with that of another Program or Program Template.)
