Automatically Enrolling Learners

Enrol learners in your program automatically based on certain attributes.

Learners can be enrolled into Academy programs in three ways:

Some examples of when automatic enrolment might be helpful:

  • You have a program that needs to be completed by all learners in the platform
  • You have a program that needs to be completed by all learners in a particular user group (eg. all learners in a certain role or location.

When copying a program or creating a program from a template, auto-enrolment settings do not copy to the new program. You will need to enable auto-enrolment on each program. 

 

Enabling Auto Enrolment

To enrol learners, go to Facilitate view, then the Class List. On the top right, select the three dots next to Enrol Learners and select Auto Enrol Settings.

 

By default, the Enable Auto Enrol field will be set to No

 

Auto Enrolment – All Users

To automatically enrol all of your platform's users in the program, choose All Users from the drop-down.

Using the toggles, you can choose to include only users created after a particular date.

 

Auto Enrolment – Specific User Groups

To automatically enrol individuals from specific user groups, choose Specific User Groups from the drop-down. At the bottom of the screen, you can add the relevant user groups or groups. 

Using the toggles, you can choose to include only users created after a particular date or remove users' access to the program if they are no longer part of the user group.

Once you have populated the information, you will be able to see how many users are eligible for auto enrolment, then run the enrolment by using the button on the right hand side. 

 

Running Auto Enrolment

Once you have set up automatic enrolment for a program, it will show on your class list. From here, you can view how many people are eligible for enrolment, and run the enrolment at any time. 

Please note, the more learners you are enrolling, the longer the enrolment run will take.
