Academy Product Updates – March 2025

Our February 2025 release includes an exciting range of updates focused on assessment management, learning experience improvements, and enhanced administrative capabilities. Key features include a new assessment and gradebook system, streamlined activity classifications, improved course status indicators, detailed financial reporting, and enhanced customisation options. 

 

Updated Platform Navigation

The first change you will notice when you log into Academy is that we’ve redesigned our platform navigation to provide a more intuitive and role-specific experience.

  • Role-Specific Customisation: Dedicated views for Facilitators and Coordinators
  • Enhanced Clarity: Focus on relevant features for each user role
  • Improved Accessibility: Left-hand placement for easier access
  • Modern Interface: Cleaner design with responsive layout for all devices

Class List 

The class list has been enhanced, with dedicated screens for different learner types:

  • Enrolled Learners – track active learners, their progress, and enrol new participants.
  • Program Applications – view and manage program applications.
  • Pending Payments – track learners who are yet to finalise payment.
  • Facilitators & Coordinators – view and manage facilitators and coordinators, including who appears in onboarding/catalogue and upcoming session details (if applicable).
  • Coaches – manage and assign coaches.
  • Learner Observers – distinguish observers from active learners.
  • Cancelled Enrolments – view past participants who cancelled their enrolment in the program.
  • All Participants – access and export the full participant list.

 

 

Learner Status

We've also refined our learner status indicators to provide clearer feedback to learners on their progress and to align with the progress report and class list changes above. 

  • Successful Completion: The green circle with a white tick is now exclusively displayed for passed/successful activities
  • View/Submit Completion: Pages, Sections and activities completed on viewing or submission now display with a full green circle
  • Review Status: Changed the 'Submitted: In review' status icon to a full orange circle, reserving the tick for successful outcomes

Assessment & Gradebook

We've introduced a comprehensive assessment management system that integrates customisable grading scales with our gradebook functionality. This system allows administrators to configure grading methods and scales to match their specific assessment requirements.

  • Flexible Grading Configuration: Configure grading scales through templates or custom setup, with options for scored/automatic and manual assessment methods
  • Comprehensive Assessment Tools: Set weighted calculations and must-pass requirements while managing bulk marking and grade release
  • Enhanced Feedback Systems: Provide detailed learner feedback and support moderation processes
  • Streamlined Grade Management: Control grade visibility and publishing workflows with scheduled or manual grade publishing options
  • Standardised Assessment: Configure organisation-wide grading standards while maintaining a consistent assessment policy

Activity Assessment Types for Graded Programs

We've implemented a new activity classification system that streamlines how activities are configured for grading and completion requirements. The system introduces three distinct assessment types:

  • Assessment Classifications:
    • Summative assessments for graded, required activities
    • Required Formative for mandatory, ungraded activities
    • Optional Formative for supplementary activities
  • Automatic Gradebook Integration: Seamless integration with the gradebook system for streamlined assessment management

 

Transaction Report

Our new transaction report tool provides detailed visibility of transaction data across the platform. The report includes three integrated views to support different financial analysis needs.

Transaction Overview Report:

  • Detailed view of all completed transactions with customisable filters
  • Complete transaction history with payment details
  • Real-time status tracking and updates

Transaction Items Report:

  • Line-item breakdown of all enrolments
  • Program-level and individual learner analysis
  • Detailed cost allocation tracking

Abandoned Transactions Report:

  • Monitoring of incomplete enrolments
  • Two-hour tracking window for abandonment

Learner Progress Dashboard

Facilitators and coordinators will now have a more detailed view of learner progress. The class list and progress reports now show the following statuses for each learning activity:

  • Not Started – has not yet started the activity
  • In Progress – activity is in progress
  • Pending Assessment – activity has been submitted for assessment
  • Graded Unpublished – activity has been assessed but the grade has not yet been published
  • Successful – learner has successfully completed the activity (whether assessed or not)
  • Unsuccessful – learner was marked unsuccessful for that activity
  • Did Not Complete – did not complete the activity within the specified timeframe

 

 

Call Out Styles

Administrators can now preset three callout styles for activity blocks to use across sections and pages of a course.

  • Enhanced Readability: Makes key information stand out for better engagement
  • Customisation within Brand Guidelines: Heighten visuals with still aligning with brand guidelines
  • Greater Design Flexibility : Create a more visual experience and highlight certain text elements on Academy

 

Themed Icon Sets

Administrators can now select from six stock icon styles for their header, pathway, category and activity icons when creating a theme.

  • Enhanced Branding Options: Icons that align with the theme help reinforce platform branding
  • Customisation Flexibility: Better alignment with organisation branding guidelines
  • Visual Consistency: Create a more cohesive visual experience across the platform
